Behind the Scenes: How Our Team Manages Holiday Rush Projects Without Losing Our Minds (or Our Tape Guns)

Every print shop has a “busy season”…
But at AlphaGraphics Kansas City, we like to think of the holiday rush as our own little version of the Santa's Workshop — without the elves and reigndeer.

Between the banners, booklets, holiday cards, corporate gifts, signage installs, event graphics, and last-minute “Can this be done by tomorrow?” requests, our shop becomes a cozy blend of controlled chaos and pure creative energy.

So how do we handle it all without losing track of jobs, timing, or equipment (looking at you, wandering tape gun)?

We thought we’d take you behind the scenes.


🎄 1. It Starts with Project Management Magic

Long before the first holiday card is printed, our team is ordering materials, forecasting your needs, and scheduling like championship-level planners.

We rely on:

  • Daily Work In Progress meetings

  • Detailed production timelines with job tracking

  • Ongoing team and client communication

  • Proofing and approval workflows that keep everything moving

This is where our team really shines — keeping hundreds of projects moving through design, production, finishing, and delivery with minimal stress (and maximum caffeine).


📦 2. Then Comes the Mountain of Materials

Holiday season means boxes. So many boxes.

Substrates, envelopes, wide-format rolls, packaging, branded gifts, custom labels — if it can be printed, packed, folded, or shipped, it’s probably stacked in our production area right now.

There’s nothing quite like watching a pallet of envelopes roll in and hearing someone say,
“Oh good, these are the first batch.”


🖨️ 3. Our Equipment Works Overtime — And So Do We

Flatbeds, digital presses, plotters, laminators — if it turns on, it’s running.
Our production team looks like air-traffic controllers during peak hours, answering phones, coordinating machines, and finishing steps to keep everything flowing.

Every job might be different, but our process stays consistent:

  1. Order Confirmation, Prep and proof

  2. Print

  3. Cut, bind, trim, or finish

  4. Package

  5. Deliver or ship

It’s a symphony. A slightly loud one, but a symphony nonetheless.


⏱️ 4. And Yes… We Handle Last-Minute Projects (Because of Course We Do)

We’ve seen it all:

  • “We forgot our event is tomorrow.”

  • “Can we add 500 more?”

  • “Our marketing director just changed the color. To… all of them.”

  • “The intern ordered the wrong size banner.”

Thanks to tight project management and a seriously talented team, we can often make the impossible possible.

Just don’t ask how many times we’ve said, “Okay, we can do it — but don’t tell anyone else we agreed to this.”


🎁 5. The Best Part: Seeing the Final Product Leave the Shop

There’s something incredibly satisfying about watching a stack of holiday cards, a custom display, or perfect team gift head out the door.

It’s the moment where all the lists, timelines, color checks, troubleshooting, and tape-gun drama feel worth it.

Because for us, the holiday season isn’t just a rush — it’s a reminder of why we love this industry:
